Sometimes the organization chooses the move. Sometimes the contract ends, a department reorganizes, or someone else has already made the decision.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">None of that has to mean SharePoint was the wrong choice. It may have worked perfectly well for years. But once your document library needs a new home, you need to structure the migration into four phases:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Decide what you&#8217;re replacing.<\/li>\n\n\n\n<li>Get the files out.<\/li>\n\n\n\n<li>Rebuild the structure.<\/li>\n\n\n\n<li>Put the library the right people can access it.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">If you&#8217;re still choosing the replacement, start with my guide to <a href=\"https:\/\/documentlibrary.pro\/nl\/blog\/sharepoint-alternatives\/\">SharePoint alternatives<\/a>. For the purposes of this article, I&#8217;m assuming you&#8217;re ready to migrate away immediately. I&#8217;ll tell you about how to plan and implement a migration away from SharePoint. The software may still work well, but the document library now needs to serve a different audience, budget or publishing job. This might be:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Cost per reader.<\/strong> SharePoint licensing can get expensive when most people only read documents and never upload, edit or approve them.<\/li>\n\n\n\n<li><strong>Only using the library.<\/strong> If you only use SharePoint for policies, minutes, forms or handouts, the wider platform may be overkill.<\/li>\n\n\n\n<li><strong>Public access.<\/strong> Residents, parents, members and patients often don&#8217;t want to sign in to a Microsoft account just to read a policy or agenda.<\/li>\n\n\n\n<li><strong>Public archive needs.<\/strong> A SharePoint site may be decommissioned, or a department may close, while its documents still need to stay publicly available.<\/li>\n\n\n\n<li><strong>Older on-premises versions.<\/strong> On-premises means SharePoint runs on your own server rather than in Microsoft 365, and support end dates can force a decision.<\/li>\n\n\n\n<li><strong>Website publishing.<\/strong> Some organizations want a document library on their own website, alongside the rest of their content. They don&#8217;t want a separate document management system with a separate address.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">This is especially common in <a href=\"https:\/\/documentlibrary.pro\/nl\/blog\/document-management-for-government\/\">government document management<\/a>, where minutes, agendas and forms need to stay findable after staff structures change. It also comes up in <a href=\"https:\/\/documentlibrary.pro\/nl\/blog\/document-management-for-schools\/\">scholen<\/a>, membership bodies, clinics and <a href=\"https:\/\/documentlibrary.pro\/nl\/blog\/document-management-for-nonprofits\/\">charities<\/a>, where the person reading the file is often outside the organization.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If your organization uses SharePoint&#8217;s wider capabilities (workflows, Teams integration, lists, forms and internal collaboration) and your document library is just for internal contacts, then I&#8217;d recommend keeping it on SharePoint. This article is for organisations with a genuine reason to migrate their document library away from SharePoint.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Start by deciding what you&#8217;re replacing<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">People often try to recreate SharePoint somewhere else, and that&#8217;s where the migration gets stuck. For a council clerk, school business manager or nonprofit operations manager moving documents away from SharePoint, You&#8217;re no longer stuck by its restrictions. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Take a fresh look at the ideal structure for your document library. Mentally separate the library from everything else SharePoint may have been doing. Internal collaboration, co-authoring, workflows, forms and Teams are unrelated to your organization&#8217;s document library, so forget about them for this project.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Before touching the files, make a simple inventory of what&#8217;s in your current SharePoint document library. Work out:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>How many files there are.<\/li>\n\n\n\n<li>How large the library is.<\/li>\n\n\n\n<li>Which documents are current.<\/li>\n\n\n\n<li>Which documents are superseded.<\/li>\n\n\n\n<li>Which files should never have been public.<\/li>\n\n\n\n<li>Which files are duplicates of duplicates.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">A migration is an excellent opportunity to have a clear-out and throw things away. It&#8217;s a bit like moving house, when you finally get rid of years of clutter! Many SharePoint libraries carry years of superseded versions, old drafts and abandoned folders. Some files may be fully public. Others may be restricted to members or staff, and some may be internal only. This affects how you set up the new document library later.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Get your files out of SharePoint<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Files are easy to download from SharePoint in principle. The difficult part is that a large library can hit limits that only show up once you start.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Why I&#8217;d import rather than sync<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Document Library Pro can keep a document category in sync with a <a href=\"https:\/\/documentlibrary.pro\/nl\/docs\/folder-sync\/\">Google Drive- of Dropbox-map<\/a>, so documents create themselves from the folder and stay in sync. People ask whether we can do the same with SharePoint.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Our view is that for someone leaving SharePoint, a sync is the wrong tool because it keeps SharePoint in the loop permanently. You&#8217;d still be paying for it, administering it, and depending on it.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A migration off SharePoint is a one-off import, not a sync. Next, I&#8217;ll tell you how to migrate your documents out of SharePoint properly. The <a href=\"https:\/\/documentlibrary.pro\/nl\/docs\/migrating-from-sharepoint\/\">step-by-step version<\/a> is in the support documentation.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Route one: Browser download<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">The simplest route is to use SharePoint in your browser. Open the document library, select the files or folders you want, and choose Download. SharePoint packages the selection into a zip file for you.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Browser download is fine for a few hundred files. However, Microsoft&#8217;s own <a href=\"https:\/\/support.microsoft.com\/en-us\/onedrive\/download-files-and-folders-from-onedrive-or-sharepoint\">download guidance for OneDrive and SharePoint<\/a> lists several limits you need to plan around:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>250GB per file.<\/li>\n\n\n\n<li>10,000 files in a single download.<\/li>\n\n\n\n<li>Each folder can contain up to 10,000 files.<\/li>\n\n\n\n<li>10GB per zip file where the contents are already compressed, with a 20GB overall limit.<\/li>\n\n\n\n<li>OneNote notebooks can&#8217;t be downloaded. You get an error file instead.<\/li>\n\n\n\n<li>You can&#8217;t bulk download from the Shared view. You have to open the library itself.<\/li>\n\n\n\n<li>SharePoint Server 2019 on-premises can&#8217;t do multi-file download at all.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Those limits don&#8217;t matter much for a small policy folder. They matter a lot for a document library with years of agendas, minutes, forms, reports and attachments.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Route two: OneDrive sync<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">For anything above the browser limits, Microsoft recommends syncing the library to a computer with the OneDrive sync app. The OneDrive sync app is the desktop app that keeps SharePoint or OneDrive files mirrored on your computer. Once it has downloaded the library, copy the synced folder somewhere outside OneDrive.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This route is a practical workaround for libraries over 10,000 files. It needs enough disk space for the whole library, and a large library can take a long time to finish downloading. Don&#8217;t start it on a laptop that may sleep halfway through.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">What doesn&#8217;t come with the files<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">SharePoint metadata columns don&#8217;t come with the files. Version history doesn&#8217;t either, and neither do permissions. You just get the files and the folder structure.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For most document libraries that migrate away from SharePoint, that&#8217;s enough. The folder structure is the valuable part, because those folders become your categories in the new library. Keep the folder structure intact when you download, and don&#8217;t flatten everything into one folder.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What to use after leaving SharePoint<\/h2>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"598\" src=\"https:\/\/documentlibrary.pro\/wp-content\/uploads\/2026\/07\/gs-folder-layout-1024x598.jpg\" alt=\"Mapindeling van Document Library Pro waarin documenten in doorbladerbare mappen worden georganiseerd\" class=\"wp-image-625\" srcset=\"https:\/\/documentlibrary.pro\/wp-content\/uploads\/2026\/07\/gs-folder-layout-1024x598.jpg 1024w, https:\/\/documentlibrary.pro\/wp-content\/uploads\/2026\/07\/gs-folder-layout-300x175.jpg 300w, https:\/\/documentlibrary.pro\/wp-content\/uploads\/2026\/07\/gs-folder-layout-768x449.jpg 768w, https:\/\/documentlibrary.pro\/wp-content\/uploads\/2026\/07\/gs-folder-layout-18x12.jpg 18w, https:\/\/documentlibrary.pro\/wp-content\/uploads\/2026\/07\/gs-folder-layout.jpg 1400w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\"><a href=\"https:\/\/documentlibrary.pro\/nl\/pricing\/\">Document Library Pro<\/a> gives you a searchable, filterable document library on your own website. Visitors can search, preview and download files without signing in to anything. It&#8217;s built for exactly this kind of library: Policies, minutes, reports, forms and handouts that people need to find and download. It comes with everything you need for a fully functional document library, either for internal contacts or for the public. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Publish documents to your existing website<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">The reason many SharePoint libraries fail their readers is that the documents live somewhere other than the website people already visit. A parent checks the school site. A resident checks the council site. A member checks the association site.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Document Library Pro hosts the library for you and gives you an embed code to put it on your own site. It works on Wix, Squarespace, HubSpot, Weebly, MemberClicks, custom sites and intranets. There&#8217;s also a <a href=\"https:\/\/barn2.com\/wordpress-plugins\/document-library-pro\">WordPress plugin version<\/a> for organizations publishing on WordPress.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Visitors get the kind of document page they expect from a website:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>A search box that behaves like a website search box.<\/li>\n\n\n\n<li>Filters by category.<\/li>\n\n\n\n<li>Preview without downloading.<\/li>\n\n\n\n<li>Download buttons beside each document.<\/li>\n\n\n\n<li>Multi-select, so they can download several files as a zip.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Search covers the text inside the files, not just the titles. PDF, Word, Excel and PowerPoint contents are indexed and searchable.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Make documents public or private<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Making documents public with SharePoint is a pain. Document Library Pro gives you better control.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Either make your entire document library public or password protect one or more of your libraries. You can also embed libraries in an already private website or intranet.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Organize the library into categories and tags<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Your SharePoint folders become categories in Document Library Pro. Categories drive the filters visitors use, and nested categories are supported. That means a Reports folder with a Board minutes subfolder can become the category Reports and the child category Reports > Board minutes.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">How to import your SharePoint documents into Document Library Pro<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">There are two main ways to import the documents you migrated away from SharePoint into Document Library Pro: <\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Drag-and-drop<\/strong> &#8211; Simply drag your files into Document Library Pro. Once imported, you can manually structure them into folder. Filenames become titles, so filenames matter in a way they may not have inside SharePoint. For example, board-minutes-march.pdf becomes a document titled &#8220;Board Minutes March&#8221;. Check your filenames before importing. My guide to <a href=\"https:\/\/documentlibrary.pro\/nl\/blog\/file-naming-conventions\/\">bestandsnaamconventies<\/a> will help you with this.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>CSV-import<\/strong> &#8211; Create (or ask your AI to create!) a CSV ready to import into Document Library Pro. Unlike drag-and-drop, this lets you pre-assign important data such as document titles and categories. The <a href=\"https:\/\/documentlibrary.pro\/nl\/docs\/adding-documents\/\">Document Library Pro import guide<\/a> explains the process. These are the columns you can use in your CSV:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Title.<\/strong> This holds the document title and is required.<\/li>\n\n\n\n<li><strong>Description.<\/strong> This holds the main document description.<\/li>\n\n\n\n<li><strong>Excerpt.<\/strong> This holds a short summary for listings and previews.<\/li>\n\n\n\n<li><strong>File URL.<\/strong> This holds the public web address of a file you want pulled into the library.<\/li>\n\n\n\n<li><strong>Link URL.<\/strong> This holds the address of a document that should stay as an external link rather than being imported.<\/li>\n\n\n\n<li><strong>Featured image URL.<\/strong> This holds a public image address that gets downloaded and set as the document&#8217;s thumbnail.<\/li>\n\n\n\n<li><strong>File size.<\/strong> This is only needed for linked documents, because the size of hosted files is worked out automatically.<\/li>\n\n\n\n<li><strong>Categorie\u00ebn.<\/strong> This holds the document categories, and any that don&#8217;t exist yet are created during the import.<\/li>\n\n\n\n<li><strong>Tags.<\/strong> This holds the document tags, and any that don&#8217;t exist yet are created during the import.<\/li>\n\n\n\n<li><strong>Author.<\/strong> This holds the display name shown against the document.<\/li>\n\n\n\n<li><strong>Published.<\/strong> This takes TRUE or FALSE and controls whether the document goes live or stays a draft.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">To nest a child category inside a parent, use a greater-than sign in the Categories column. For example, write &#8220;Reports > Board minutes&#8221;. This lets you replicate your SharePoint parent and child category relationship before importing the files to Document Library Pro. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Next: <\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Openen <a href=\"https:\/\/documentlibrary.pro\/nl\/docs\/adding-documents\/\"><em>Dashboard \u2192 Import<\/em><\/a>.<\/li>\n\n\n\n<li>Either drag a batch of files straight onto the page, or upload your CSV file.<\/li>\n\n\n\n<li>For a CSV, the headers are matched to the matching document fields automatically. Check the matches on screen and adjust any that are wrong.<\/li>\n\n\n\n<li>Run the import. Hundreds of documents can be created in a single pass.<\/li>\n\n\n\n<li>Open any document afterwards to tidy the title, add a description, or change its categories.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">You also need to decide whether to enable version control for your document library. Every library gets its own address in the form your-slug.documentlibrary.app, and you can connect your own branded address such as docs.yourcompany.com instead. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Alternatively you can embed the libraries onto your existing website or intranet site. Most people choose this option because it puts the document library where people are already visiting:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Openen <a href=\"https:\/\/documentlibrary.pro\/nl\/docs\/publishing-your-library\/\"><em>Dashboard \u2192 Publish Library<\/em><\/a>.<\/li>\n\n\n\n<li>Copy the embed code from that page. It&#8217;s an iframe plus a small script that lets the library resize itself to fit the page.<\/li>\n\n\n\n<li>Add the website where you&#8217;re embedding it to the allowed domains box, so nobody else can put your library on their site.<\/li>\n\n\n\n<li>Paste the embed code into the page where you want the library to appear.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">De <a href=\"https:\/\/documentlibrary.pro\/nl\/docs\/document-library-protection\/\">library protection documentation<\/a> explains those options in more detail. A council can publish agendas and forms on the public website using the approach in my <a href=\"https:\/\/documentlibrary.pro\/nl\/blog\/document-management-for-government\/\">government document management<\/a> guide. A school can keep policies visible to parents while staff-only files stay behind a login, which I cover in my guide to <a href=\"https:\/\/documentlibrary.pro\/nl\/blog\/document-management-for-schools\/\">school document management<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">A SharePoint migration succeeds or fails in the structure work<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A good migration depends on deciding what each file is, whether it still belongs in the library, what it should be called, and who should be able to see it. Treat those decisions as part of the migration, not cleanup for later.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That structure work decides whether people can find anything afterwards.
