Each document can be a file you upload or a link to a file that lives somewhere else.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" src=\"https:\/\/documentlibrary.pro\/wp-content\/uploads\/2026\/07\/add-document-to-online-library.jpg\" alt=\"Adding a document to your library with a file, title, categories and tags\"\/><\/p>\n<h2 id=\"upload-a-file-or-link-to-a-url\">Upload a file or link to a URL<\/h2>\n<p>At the top of the form, choose <strong>Upload a File<\/strong> or <strong>Link to a URL<\/strong>. To upload, drag a file onto the drop zone or click <strong>Choose File<\/strong>. To link instead, switch to URL mode and paste the web address of the file. For linked files you can optionally enter the <strong>File size<\/strong>, since we can only detect that automatically for files you upload.<\/p>\n<h2 id=\"add-a-title-and-description\">Add a title and description<\/h2>\n<p>Give the document a <strong>Titre<\/strong>, which is required. The optional <strong>Description<\/strong> uses a full editor, so you can add formatted text, images, or embedded media that appears alongside the document in your library.<\/p>\n<h2 id=\"organize-with-categories-tags-and-authors\">Organize with categories, tags, and authors<\/h2>\n<p>On the right, assign <strong>Cat\u00e9gories<\/strong>, <strong>Tags<\/strong>, and <strong>Authors<\/strong>. These power your library&#8217;s filters and let you scope separate libraries to particular topics. You can create a new category or tag inline without leaving the screen.<\/p>\n<h2 id=\"add-a-featured-image\">Add a featured image<\/h2>\n<p>Use <strong>Featured image<\/strong> to attach a thumbnail, which is especially useful in the grid layout.<\/p>\n<h2 id=\"replace-a-document\">Replace a document<\/h2>\n<p>To swap the file behind an existing document, open it and drop a new file onto the upload area, where it now reads <strong>Drop a new file to replace it<\/strong>. The document keeps its title, link, and settings.<\/p>\n<h2 id=\"expiry-and-version-history\">Expiry and version history<\/h2>\n<p>On the <strong>Avanc\u00e9<\/strong> plan you can also set an <strong>Expiry date<\/strong>, after which the document is hidden from your library, and keep a <strong>version history<\/strong> so that replacing a file preserves the previous version.
