Where Salesforce document management works well<\/h2>\n\n\n\n
Salesforce document management works best when the file clearly belongs to one record. A quote attached to an opportunity makes sense there. A signed contract on an account also belongs next to the customer record.<\/p>\n\n\n\n
Files is also useful when you need version history on a record-specific document. For example, a sales rep can keep proposal versions with the opportunity instead of saving them in a separate folder and hoping everyone knows which one to use.<\/p>\n\n\n\n
Libraries can work well for a small, controlled set of internal files. If you only have a handful of documents and a clear group of members, Salesforce’s own sharing rules keep everything close to the CRM data your team already uses.<\/p>\n\n\n\n
Where teams struggle with shared documents<\/h2>\n\n\n\n
Salesforce admins and consultants commonly describe a different problem once documents stop belonging to one account, contact or opportunity. The CRM still stores the files, but people struggle to find the right document once the library grows.<\/p>\n\n\n\n

- External sharing adds another product<\/strong>: Sharing files with customers or partners usually means setting up an Experience Cloud site. That can be the right answer, but it is a separate product with its own setup work.<\/li>\n<\/ul>\n\n\n\n
You need to decide which files belong in Salesforce as record evidence, and which files need a proper shared library.<\/p>\n\n\n\n
Documents that do not belong to one record<\/h2>\n\n\n\n
Some documents are useful precisely because they are not tied to one customer. These are the files people use again and again across deals, support tickets, campaigns and partner relationships.<\/p>\n\n\n\n

How we handled this at Barn2<\/h3>\n\n\n\n
When Barn2 had a more active affiliate program, we used Document Library Pro to build a private Ressourcenbibliothek gibt<\/a> inside our affiliate area. It held downloadable banners and creatives, including evergreen assets and Black Friday campaign materials.<\/p>\n\n\n\n
We sell 19 software products, so a flat list of downloads would have been painful for affiliates. They needed to narrow the library by product, by banner size, and by campaign.<\/p>\n\n\n\n
We used categories, tags and filters to make that possible. For me, the lesson for Salesforce teams is simple: Filters matter more than folders once a library grows. If you sell lots of products or run several campaigns, people need to narrow the list fast.<\/p>\n\n\n\n

Your options for a Salesforce document library<\/h2>\n\n\n\n
Salesforce Libraries<\/h3>\n\n\n\n
Salesforce Libraries are the obvious first place to look because you already have them inside Salesforce. They use membership to control access, which works well for a small set of shared files. However, Libraries still use Salesforce storage, and browsing can feel basic when the collection grows into hundreds of resources.<\/p>\n\n\n\n
A sales enablement platform<\/h3>\n\n\n\n
A sales enablement platform such as Seismic or Highspot gives large sales teams powerful content management and analytics. This can make sense when you need coaching, content performance data and enterprise sales processes in one place. For a searchable shared library, it is a lot to set up.<\/p>\n\n\n\n
Links to SharePoint or Google Drive folders<\/h3>\n\n\n\n
SharePoint and Google Drive are cheap, familiar options for shared documents. If your team already stores files there, linking Salesforce to those folders may be enough. In practice, people still leave Salesforce to find what they need, and folder browsing gets slow once there are hundreds of files.<\/p>\n\n\n\n
